Practices looking for an Aircall alternative need to establish how its AI agent handles patients ringing the front desk. Aircall builds for sales and customer support teams, with an AI agent that handles and transfers calls, plus tools that assist staff during a call and analyse conversations afterwards. ClinicAll does one narrower job: it answers the phone for an ophthalmology practice, an optician, a dental surgery or a GP practice.

Who each one is for

Aircall’s core product is cloud telephony, sold per user licence to teams who spend the working day on the phone with prospects and customers. Its AI sits on top of that base: a voice agent that picks up, AI Assist to help a person while the call is running, and analysis of conversations once they end. Its pricing page also lists AI Voice Agents as a standalone offer that does not require the licences.

Aircall’s help centre says its voice agent reads real availability, transfers a caller to a colleague and records callback requests. The same help centre describes call summaries and a dashboard, and explains how to keep your own number. None of the pages we read says whether the agent writes an appointment into a practice management system, so if your diary lives in medical or optical software, put that question to Aircall first.

Where Aircall serves sales and support teams, ClinicAll serves four kinds of practice: GP practices, dental surgeries, opticians and ophthalmology practices. Before go-live we load your opening hours, your locations, your appointment types and the requests that must always reach a person. From then on the receptionist answers as your front desk. Callers who ask who is on the line hear that it is the practice’s virtual receptionist; at no point does it pass itself off as human.

Aircall’s pages leave the diary question open; on ClinicAll’s side, the answer turns on your practice software. On Mikrono, the appointment is in your diary at the end of the call, with no confirmation step left for the desk. On XEYEX, the receptionist holds a slot and your team confirms it. Any other system sends appointments in as callback requests, not diary entries: the appointment request reaches your team, who call the patient back to confirm it.

The receptionist never moves or cancels an appointment itself: your team confirms. What it records instead is the booking in question and the alternatives the caller could manage. That goes out as a summarised callback request, so whoever rings back has the details without replaying a voicemail. It does not open a patient’s record either.

Transfers depend on your desk. The receptionist transfers to the desk when it is staffed and a transfer line is configured; otherwise it takes a callback request, noting who rang, on which number and why. Clinical questions stay with your clinicians. The receptionist gives no medical advice and applies your emergency rules, such as which site takes urgent cases and what the caller should do straight away. Aircall presents its agent to sales and support teams, and the pages we read describe no rule specific to health questions.

Aircall’s help centre describes a multilingual agent. ClinicAll answers in French and English, both verified on lines already in service, and we validate any other language on your line before go-live. Go-live and any later question are both handled by one team, which works in French, from Luxembourg.

Where Aircall is the better fit

Aircall is the better fit when your practice already runs its phones on Aircall. The voice agent is then added to lines and numbers you already have, inside the app your team opens every morning, and the help centre explains how to keep your own number. ClinicAll runs on a number of its own, and your existing line diverts to it, for every call or only while the desk is busy.

It also suits a site where the phone serves more than patient care, for example a group that runs a sales line or an after-sales service under the same roof. AI Assist supports staff while they are on a call, and conversation analysis covers the whole team. ClinicAll offers nothing comparable: it sends a summary of each call, and a callback request where one is needed, to the practice dashboard.

On data, Aircall publishes a page on regional data hosting and puts its data processing agreement online. ClinicAll sends you its agreement when you ask for it, before you commit. Our call log is stored in Germany; voice and telephony are processed in the United States, covered by Standard Contractual Clauses. The security page names each sub-processor with its location.

If you want to test before signing, Aircall shows a trial on its AI overview page, and its voice agent page describes pay-as-you-go use with no minimum term. ClinicAll’s pricing FAQ differs on both. Asked about a free trial, it replies “No.”; asked about duration, it says: “It is set in the written quote, before go-live; every plan has a minimum term.”

ClinicAll vs Aircall comes down less to the voice than to where your diary is kept. If your appointments live in Mikrono or XEYEX, and your emergency rules matter as much as picking up, the receptionist was built for that desk. If your practice first needs a business phone system with AI around it, Aircall is designed for that.

Whichever you choose, write down what the tool must do with a call it cannot handle: transfer it, take a callback request or send the caller to urgent care. Does Aircall’s AI voice agent book appointments in practice software?

The Aircall pages we read do not say. Its help centre states that the agent reads real availability, transfers callers to a colleague and records callback requests. Ask Aircall whether your practice management system is supported before you sign.

Do I need Aircall’s phone system to use its voice agent?

Not according to its pricing page, which also sells AI Voice Agents as a standalone offer. Its phone licences include AI minutes per account as well. With ClinicAll you keep your current phone system and forward to the receptionist the calls your desk cannot take, or all of them.

Is there a free trial of ClinicAll, as there is with Aircall?

No. Our pricing FAQ puts it plainly: there is no free trial. You can ring the demo line instead, then receive a written price after a 30-minute call.

Which languages do the two receptionists speak?
